What Must an Invoice Include in Malaysia? (2026 Checklist)

Sample invoice from Synergy billing software with SST and LHDN e-Invoice QR code (sample data)

An invoice is more than a request for payment. In Malaysia it is also a tax record, and since e-Invoice it may need to be validated by LHDN. Missing details can delay payment, cause problems in a tax audit or get an e-Invoice rejected. Here is what every invoice needs.

The basic checklist

Every invoice should show:

  • the word “Invoice” and a unique, running invoice number
  • the invoice date
  • your business name, registration number, address and contact details
  • the customer’s name and address
  • a description of each item or service, with quantity and unit price
  • the total amount payable, and the payment terms (for example, 30 days)

Extra details for SST-registered businesses

If you are registered for sales tax or service tax, the invoice must be in Bahasa Melayu or English and also show:

  • your SST registration number
  • the amount before tax, shown separately
  • the SST rate and the SST amount
  • the total including SST

See the Royal Malaysian Customs guidance on issuing invoices.

What changes with e-Invoice

Under LHDN’s e-Invoice, the invoice is sent to the MyInvois system as structured data, checked and given a unique ID and QR code. On top of the checklist above, it needs both parties’ tax identification numbers (TIN) and classification codes for each item. Businesses with annual turnover below RM3 million are exempt (from 1 September 2026). Read more on our e-invoice page.

Invoice, receipt, quotation: what’s the difference?

Document When Purpose
Quotation Before the sale The price you offer
Invoice When goods or services are delivered Asks the customer to pay
Receipt When payment is received Confirms the customer has paid
Credit note After the invoice Reduces what the customer owes (returns, discounts)
Debit note After the invoice Increases what the customer owes

Common invoice mistakes

  1. Gaps or duplicates in invoice numbers.
  2. Editing an issued invoice instead of issuing a credit or debit note.
  3. Missing the customer’s TIN, which stops an e-Invoice being validated.
  4. Showing a price that includes SST without showing the SST amount.
  5. No payment terms, so customers pay late.

Invoices that are right every time

Synergy billing software fills in the required details for you: running numbers, your SST registration number with the SST rate and amount shown separately, customer TINs and payment terms. Turn a quotation into a sales order, delivery order and invoice without retyping, issue credit and debit notes properly, submit e-Invoices to LHDN from the invoice, and print or e-mail invoices in batches. Billing is part of Synergy accounting, so every invoice updates your accounts.

Frequently asked questions

What must an invoice include in Malaysia?

An invoice number, date, your business and customer details, a description of the items with quantities and prices, and the total. SST-registered businesses must also show their SST number and the tax separately.

Can I issue invoices in English?

Yes. Invoices can be in Bahasa Melayu or English.

Is a receipt the same as an invoice?

No. An invoice asks for payment; a receipt confirms payment was received.

Can I change an invoice after issuing it?

Issue a credit note or debit note instead of editing it, so your records and tax returns stay correct.

Does every business need e-Invoice?

No. Businesses with annual turnover below RM3 million are exempt from 1 September 2026, according to LHDN’s e-Invoice guideline.
